How it works

From course catalog to certified staff, in five steps.

TrainTrack follows each training from the day it is published to the day it needs renewing — then loops back for the next round.

  1. Step 1

    Plan: publish your courses

Add each course with its code, category, duration, delivery mode and fee. Mark it HRDF claimable, record the scheme, and set how often it must be retaken.

    • HRDF-claimable flag and scheme per course
    • Recertification period, from 1 to 120 months
    • Physical, virtual or hybrid delivery

  2. Step 2

Enroll: schedule sessions, HR books staff

Create sessions with dates, venue, trainer and seats — open to every company or in-house for one client. Company HR signs in and books their own employees.

    • Public or in-house sessions
    • HR self-enrollment from their own employee list
    • Enrollment email and a reminder three days before

  3. Step 3

Train: mark attendance day by day

Mark each trainee for each day of the session. When the training ends, complete it and every record updates in one step.

    • Present, Late, Absent or Excused
    • A column for every day of a multi-day course
    • Attendance flows straight into the HRDF report

  4. Step 4

    Assess: exams that grade themselves

Build a pre-test, post-test or assessment once and attach it to the course. Trainees are invited when the training is complete, and their score is ready the moment they submit.

    • Pass mark, time limit and number of attempts
    • Shuffled multiple-choice questions
    • Results emailed and kept on the trainee record

  5. Step 5

Renew: know who is due before they lapse

Completed training becomes a certification with an expiry date. HR sees who is valid, expiring or expired, and books the renewal in one click.

    • Valid, Expiring and Expired status
    • Retraining-due alert on the HR dashboard
    • Daily 08:00 summary email for HR

Who does what

Three roles, each with the right view.

The training provider runs the system; each company manages its own people; trainees see their own training.

Administrator

The training provider. Manages courses, sessions, exams, companies, reports, emails and settings.

Company HR

Manages their company’s employees, books them into sessions and watches certification expiry.

Trainee

Sees their trainings, sits exams and knows when a certification needs renewing.
